The Administrative Assistant is a highly organized and energetic individual provides administrative support to the SECURE’s Asset Management team.  The successful candidate will quickly develop a working knowledge of the day to day operations and company activities while providing excellence in customer service and stakeholder management.

The Team

This position will appeal to an individual who enjoys working in a dynamic team environment and has the flexibility to manage daily activities and conflicting priorities in a proactive and positive manner.

Work Environment

This is a full time position working 8:00am to 5:00pm Monday to Friday in our Red Deer office.

A Day in The Life

  • General administration duties (meeting prep, filing/scanning documents, travel planning, expenses, etc.)
  • Proper administration and maintenance of Accounts Payable and Receivable
  • Receive, coordinate and process all invoices and purchase orders ensuring timeliness and accuracy
  • Provide support and analysis on tasks related to producing accurate job set-up, cost/revenue tracking and job completion procedures
  • Assist and perform job set up functions, including input of Budgets, accurate Cost Code structures, rate tables and ensuring compliance with client contract
  • Provide support and analysis on tasks related to producing accurate job set-up, cost/revenue tracking and job completion procedures
  • Assist the team in managing inventory control of assets
  • Work closely with the Shop and Field Managers to update all repair orders
  • Work closely with Shop and Field Service Technicians to ensure timely execution on all repair related matters.
  • Review and edit service reports and repair orders for accuracy
  • Assist in generation and distribution of weekly/monthly/quarterly projects reports
  • Accurate data entry into computerized system with special attention to accuracy and timeliness.
  • Ensure a focus on quality, service excellence and efficiency within areas of responsibility
  • Coordinate the flow of field paperwork ensuring appropriate approvals are obtained for required documents and documents are forwarded on to the appropriate department or individual
  • Related tasks and projects as required

Skills, Experience & Qualifications

  • Grade 12/GED
  • Administration or Accounting Certificate/Diploma would be considered an asset
  • Minimum 2 years administrative/accounting experience
  • Experience working with information related to the repair and maintenance of heavy equipment is an asset.
  • Good time management and organization skills and ability to work effectively under pressure, meet demanding deadlines, & multi-task
  • Ability to adapt and interact within different working environments
  • Solid ability and experience working in a team-based environment
  • Excellent communication, interpersonal and customer service skills
