Your Opportunity at SECURE

The Senior Manager, Facility Administration is responsible for overseeing and managing the daily financial administrative functions across the Waste Management division, ensuring they operate efficiently and align with strategic business goals. This role focuses on optimizing processes, ensuring compliance, and driving excellence in administrative services across Waste Management. The Senior Manager will also serve as a key leader in developing and implementing policies, driving best practice, and supporting systems, to promote operational and financial success.

The Team

As part of the Finance team, the successful candidate will join a collaborative group responsible for driving operational excellence across administrative functions. In this role, they will lead the Facility Administration organization, supporting a wide range of internal services and strategic initiatives.

Work Environment

This full-time, permanent position is based in Calgary, Alberta, and requires 40 hours per week in an in-office setting.

A Day in The Life

The responsibilities of this role include but are not limited to:

  • Strategic Administrative Leadership: Develop and execute administrative strategies aligned with short-term and long-term organizational goals
  • Operational Oversight: Oversee core administrative functions including office management, paperwork processing, and volumetric balancing to ensure smooth operations
  • Cross-Functional Coordination: Collaborate with senior leadership and departments to align administrative services and foster clear communication across teams
  • Performance Management: Develop and monitor KPIs to track administrative efficiency and drive continuous improvement
  • Policy and Process Optimization: Establish, document, and enforce policies; lead process improvements in collaboration with relevant teams
  • Team Leadership and Development: Recruit, coach, and mentor a high performing administrative team while fostering a collaborative work culture
  • Budget Management: Manage the administrative budget to ensure effective resource allocation and cost-efficiency
  • Compliance and Risk Management: Ensure administrative processes comply with legal and organizational standards, and support audit activities
  • Technology and Tools Integration: Partner with internal teams to implement tools to enhance administrative operations
  • Communication and Reporting: Provide leadership with reports, updates, and dashboards on administrative performance and changes

Skills, Experience & Qualifications

The individual in this role will have:

  • Bachelor’s degree in Business Administration, Operations Management, or a related field
  • 10+ years of experience in administrative management, with 5+ years in a leadership role
  • Proven track record of implementing process improvements and leading high-performing teams
  • Strong leadership and team management abilities
  • Proficiency in developing and implementing standardized workflows and procedures
  • Excellent organizational, analytical, and problem-solving skills
  • Strong communication and interpersonal skills, with the ability to engage stakeholders at all levels
  • Advanced proficiency in Microsoft Office Suite, D365, Open Invoice and process automation tools, and reporting dashboards
